Data Processing & Mail File Optimization Address Standardization is the process of formatting an address to meet USPS standards.

USPS data processed against mail files to evaluate the quality of their addressing, update outdated addresses and improve the accuracy of the ZIP+4, carrier route and five-digit coding.
Data Deduplication
eliminates redundant copies of data following different criteria (name, address, fields, etc…)
NCOA (National Change of Address)
is a process of matching a file of names and addresses to the USPS database of move records of individuals, families, and businesses. The NCOA database has over 160 million records.
Merge/Purge
is the process of identifying and eliminating duplicate names among multiple mailing lists.
DSF Data (Delivery Sequence File)
contains every valid postal address in the United States. Data validated through DSF is sorted in mail carrier walk sequence and qualifies the mail for ECR (Enhanced Carrier Route), basic high density or saturation postage discounts.
Co-Mail: Co-mailing is the process of combining and presorting many titles/catalogs into a single mail stream. The increased level of carrier route and automation mail combined with a finer sort for bundles and pallets allows for deeper penetration into the postal stream, postage savings, and more controlled in-home delivery.
Co-Mail Specifications:
• Trim Size Variance: Width between 7” and 9” and length between 10” and 11”
• Book Thickness : Minimum 1/8” and Maximum 5/8”
• Piece Weight: Max of 24 ounces for periodicals & 16 ounces for marketing mail flats
• Poly-wrapped Mail Pieces: Require Authorization
• Inkjet: Inside personalization is not applicable.
Commingle: The process for marketing mail and first-class letter mail. Commingling reduces the per piece postage by combining two or more mailings into one final presort. Machineable letters, postcards, and self-mailers can be combined in the same tray.
Dropship: Mail verification is done at a print or lettershop. Dropship allows for enhanced postage savings through DDU/SCF/NDC entry discounts and control of in-home dates. Drop Ship, or Destination Entry, is the process of sorting mail to regional USPS processing facilities — such as NDC (National Distribution Centers), SCF (Sectional Center Facilities), and DDU (Destination Delivery Units) — to receive USPS workshare postage discounts. Once the distribution scheme is identified, Marketing Mail is transported directly to the postal facilities to ensure closely managed in-home delivery.
